Privacy Policy
Childbyte Books Privacy Policy
Effective date: September 23, 2026

Childbyte Books LLC operates childbytebooks.com and its parent-managed writing and publishing program for families in the United States. This policy explains how we handle information from visitors, adult purchasers, and parents or legal guardians, including information they submit about young authors. It covers the website, program portal, book production, fulfillment, and related communications. Independent websites linked from our site have their own policies.

1 Information we collect
We collect the adult account holder’s or purchaser’s name, email address, phone number, mailing or delivery address, order records, permissions, and communications for account management, support, and fulfillment. Payments are processed through Wix Payments. We receive order and payment-status information needed to administer transactions and refunds. Do not send payment-card numbers in project files or messages.

Parents submit the author’s name, completed worksheets, stories, illustrations, other book materials, and related project communications. We do not ask for age or date of birth. The author’s name may appear on the cover or inside the book, and submitted content may include other personal details. Parents should review all materials and include only information they authorize us to process and print. Do not submit another person’s personal information without appropriate permission.

Our website and its providers may collect technical information, including IP addresses, device and browser information, page visits, usage logs, and cookies used for accounts, security, and checkout. Google Analytics is connected to help us understand website use. Its cookies and similar technologies can collect usage and device information and transmit that information to Google.

2 How we use information
We use information to administer accounts and program access, process purchases and gifts, support writing projects, prepare proofs, print and deliver books, communicate about services, record permissions, prevent misuse, and meet legal obligations. We collect only information reasonably necessary for the stated purpose.

We may use Wix to send promotional emails on Childbyte’s behalf to adult customers and subscribers, subject to applicable permission requirements. We do not sell customer contact lists or give them to other businesses for their own independent marketing. Service-provider processing and analytics disclosures are described below; this statement does not mean that no information is transmitted to outside providers.

3 Parents and young authors
Our service requires the parent or legal guardian to manage the online process. The adult downloads materials, reviews and submits the child’s work, communicates with us, and approves printing. Children complete the creative activities with parental guidance; the portal is not intended for children to operate independently. We receive book information from the adult acting on the child’s behalf.

Parents should submit only information needed for the project. By submitting materials, the adult confirms their authority to authorize the production uses described in this policy and our Terms. That authorization does not permit us to use a child’s identity or work in advertising. If we learn that a child is independently using an account or submitting personal information, we will restrict that use and address the information as required by law, including obtaining verifiable parental consent where required or deleting it.

A parent or legal guardian may contact us to review, correct, or request deletion of information about their child, withdraw permission for further production use, or close the project. We verify the requester’s authority before fulfilling such requests. Deletion or withdrawal may prevent completion or reprinting where the information is necessary. A parent-account requirement does not replace any obligations imposed by applicable children’s privacy law.

4 Who receives information
Project uploads enter the Wix website and account system and may be downloaded to the business computer for production. Childbyte’s administrator can access profiles and submissions. Providers receive information needed for the services they perform, as described below; privacy protections and required consent apply to these disclosures.

Wix supports the website, accounts, uploads, and order functions. Canva is used for design and layout and may be used to edit illustrations, including with its AI tools. ChatGPT Business may assist with book-content editing and production. Grammarly may assist with written-content editing. Mixam receives the files needed to print the finished product and fulfillment information where necessary to deliver the order.

Information placed in Canva, ChatGPT Business, and Grammarly is limited to content appearing on or in the printed products, including the author’s name and personal details voluntarily included in the book. We do not add separate account, payment, or customer contact records to those editing tools. Not every project uses every tool. These files are not necessarily anonymous.

Payment and delivery providers receive the transaction or fulfillment information needed for their services. Google receives analytics information as described in the cookies section. Providers process information under their applicable agreements and privacy terms; their storage and deletion practices may differ.

Participants cannot see or interact with one another through the program. Their profiles and submissions are not visible to other participants or the public; they are accessible to Childbyte’s administrator and processed through the providers needed for the services described above. We do not publish an author’s work or identity for promotional purposes under these Terms.

We may disclose information when legally required or as legally permitted to protect users and systems or resolve disputes. A business transfer involving personal information must remain subject to applicable privacy obligations and required notice or consent. This policy does not grant permission to use children’s work or identity for marketing.

5 Cookies and communications
We use cookies and similar technologies for website functions and Google Analytics. You can manage or delete cookies through your browser settings; blocking cookies may affect accounts or checkout. Google offers an Analytics opt-out browser add-on at https://tools.google.com/dlpage/gaoptout. This add-on applies to supported browsers and does not stop every form of website or provider data collection. Information about Google’s handling of data is available at https://policies.google.com/technologies/partner-sites.

Adults may unsubscribe from promotional emails through the unsubscribe link or by contacting us. Unsubscribing does not stop necessary order, account, or project emails.

With your permission, we may text the adult contact about submissions, requested changes, proof approval, orders, or delivery. Project-text permission is optional; email remains available. Message frequency varies, and message and data rates may apply. Reply STOP or contact us to withdraw permission for texts; contact write@childbytebooks.com for help.

Permission for project texts does not authorize promotional texts. We will obtain any separate consent required before sending marketing texts.

6 Retention and security
We retain personal information only as long as reasonably necessary for the identified purpose and applicable legal requirements. Children’s information is not retained indefinitely.
Â
Our retention schedule is:
Completed projects: We retain the final print-ready book file for 12 months after delivery so you can order paid reprints. The file can include the author’s name and any personal details included in the book. We delete it after that period unless a pending order or specific legal obligation requires temporary retention. A reprint order does not automatically restart the retention period.

Working files: Uploaded drafts, working copies, unused illustrations, and related production files are deleted within 90 days after delivery, apart from the final print-ready file retained as described above.

Unfinished projects: We retain project materials during the 12-month program period, the 30-day grace period, and any approved extension. After the applicable deadline, we close the project and delete its materials within 30 days. A project submitted on time remains active through fulfillment and then follows the completed-project schedule.

Parents may request earlier deletion. Deletion may prevent completion or reprinting. Routine retention for reprints ends if the parent withdraws permission and requests deletion, subject to limited lawful exceptions.

Project-related messages and progress records follow the working-file or unfinished-project schedule, as applicable. If a project is canceled, we delete its working materials within 30 days after cancellation, except for records needed to resolve a pending issue or satisfy a legal obligation.

Adult account information is kept while the account remains active. Adult transaction, permission, and dispute records are kept separately for the period needed for account administration, accounting, legal obligations, and resolving claims; these purposes do not justify keeping entire manuscripts. Limited records subject to a legal hold are retained only for that obligation.

The project deletion periods apply to active copies we control. We use available provider deletion controls or request deletion of provider-held project copies. Residual backups and records providers must retain may remain subject to their retention cycles and legal obligations; we do not use those residual copies for new projects or marketing.

We use reasonable administrative, technical, and physical measures to protect personal information. No system is completely secure. Protect account credentials and report suspected misuse. We delete information using reasonable protective measures when it is no longer needed.

7 Requests updates and contact
Contact write@childbytebooks.com to request access, correction, deletion, account closure, or other privacy rights available under applicable law. We may verify identity or parental authority and retain limited records where legally required. If you disagree with our response, contact us at the same address and request review. We will handle requests and any applicable appeal within the time required by law.

We will update the effective date when this policy changes and provide notice of material changes. We obtain additional consent where required; continued use does not replace required parental consent.
